What is medical logistics?
Medical supply logistics covers everything that moves around patient care without being patient care: specimens going to the lab, supplies going to clinics, devices going to operating rooms, and equipment going in and out of buildings. Some call it medical logistics or healthcare logistics. The job does not change with the name. The right item has to reach the right receiving point inside a set window, and someone has to be able to show who held it along the way.

Which services does a healthcare program use?
Most programs combine a few of these:
- Medical courier service for specimen pickups, STAT runs and standing routes between clinics, labs and hospitals.
- Same-day courier when a supply order, a part or a signed document has to move today and does not fit an existing route.
- Box truck delivery for medical equipment shipping: exam tables, carts, cabinets and palletized supplies, with liftgate service and a second crew member for heavy pieces.
- On-board courier when a device or a trial shipment has to reach another city, carried by a courier who flies with it from LAX, SAN or SFO.
- Pallet storage in Valencia for packaged medical supplies, released onto your routes as clinics need them.
How does a routed specimen and supply program run?
A typical week looks like this:
- Morning specimen route. A driver runs a fixed loop of clinics and draw sites inside an agreed window, collects sealed specimen bags and drops them at the lab, with a signature and time at each stop.
- Supply drops. Cartons from your distributor or central stockroom ride the same route, so a clinic restocks without a separate delivery.
- A STAT call. A lab needs a redrawn sample collected, or a surgery center needs a loaner set before a morning case. A car goes straight from pickup to delivery.
- An equipment move. A box truck brings an exam table and cabinets to a new clinic with a second person, and takes the cartons away afterward.
- Pickups back. Loaner kits and empty totes return on the next route, so nothing waits in a hallway for a special trip.

Medical equipment shipping and device logistics
Medical device logistics is mostly about timing and accountability. Loaner instrument sets have to reach a hospital before a scheduled case and come back afterward. A replacement part for imaging or lab equipment is needed the day the machine goes down. Each of these goes by car, cargo van or box truck depending on size, signed for at both ends.
Inside Southern California, medical equipment shipping by box truck goes straight from pickup to delivery with no terminals in between. Heavy or awkward pieces are handled fewer times, and the crew can carry them inside instead of leaving them at the dock.

Medical supply storage at the Valencia warehouse
The Valencia warehouse stores packaged medical supplies, such as boxed disposables and empty specimen kits, for clinic groups, labs and distributors that want stock close to their Southern California routes. Storage is ambient and dry, on racks, from $25 per pallet per month. Each lot is tracked with its expiry date and shipped oldest date first, so short-dated stock leaves before newer stock. Supplies go out on a scheduled route, a same-day run or a box truck delivery when a site needs them, with handling from $12 a pallet in or out.
The limits are firm. We do not store drugs, investigational product or controlled substances. The building is not an FDA-registered facility, and there is no cold storage, so anything that must stay inside a set temperature range belongs with a specialist.
What are clinical trial logistics?
Clinical trial logistics moves kits, samples and supplies between sponsors, depots, investigator sites and labs on the schedule the protocol sets. Laboratory logistics is the daily version of the same problem: getting specimens from collection sites to the bench inside the window the lab sets. Our part is the local, ambient leg, meaning courier runs between sites, labs and depots in Southern California, plus an on-board courier when a shipment has to fly.
Investigational product, anything that must be held inside a set temperature range, and Category A shipments belong with a specialist set up for them.
Who packs a specimen, and who carries it?
Patient specimens that may carry an infectious agent, but do not meet the Category A definition, ship as Category B infectious substances under UN3373. Federal hazardous materials rules (49 CFR 173.199) require triple packaging (a primary receptacle, secondary packaging and a rigid outer packaging), the UN3373 diamond with the words “Biological substances, Category B” beside it, and the name and phone number of a person who knows the contents, on the package or the shipping paper.
The sending lab or clinic does that packing and marking. The driver collects the closed package as packed, does not open or repack it, and records the handoff. The medical courier requirements guide walks through each step.
Two HIPAA points come up in almost every vendor review. A courier that only moves sealed records or specimens is usually treated by HHS as a conduit, so a business associate agreement is often not required (the medical courier page covers when it is). And HHS does not recognize private “HIPAA certifications”, so a badge claiming one tells you nothing.
How chain of custody works on a run
Chain of custody is the written record of who held an item, when and where, from pickup to delivery. In medical work it can decide whether a lab accepts a specimen and whether a study can use a sample. The method is plain: a named pickup, a signature and time at each handoff, and a direct drive on STAT runs. Drivers sign custody forms and delivery receipts at handoff when your process requires it, so send your form with the booking. They sign as the driver or carrier, never as the shipper on a manifest.
Ambient only, and other limits to know first
Courier runs and the Valencia warehouse are ambient: there is no temperature-controlled storage and no powered cooling in transit. We do not store drugs or investigational product, and we do not carry Category A infectious substances, other hazardous materials or controlled substances. And we make no certification claims, because no federal agency certifies medical couriers.
What should a healthcare quote request include?
Send the pickup and delivery addresses, what is moving (sealed specimens, supply cartons, a device kit, or equipment with weights and dimensions), the time window, and how often it repeats. For a route, add the list of stops and each pickup window. For a trip by air, add the destination city and the latest arrival time. A coordinator replies during business hours with a written quote per run, per stop or per route, and business clients are invoiced.
