Subscription box fulfillment is the warehouse side of a box program: receiving what goes in the box, building every box for the cycle, and shipping them to the subscriber list inside a set window. Alvy Logistics runs subscription box cycles from one 58,000 sq ft ambient warehouse in Valencia, California, on the I-5 north of Los Angeles, alongside your store orders.
What is subscription box fulfillment?
A subscription box ships curated contents to a list of subscribers on a schedule, usually monthly or quarterly. The work behind it is kitting and assembly on a calendar. Everyday ecommerce pick and pack builds each order the moment it arrives. A subscription cycle builds hundreds or thousands of near-identical boxes in one batch, then ships them together.
Judge subscription fulfillment services on two things: every box matches the approved box, and the cycle leaves inside the window you promised. The Valencia building works as your subscription box fulfillment center for both.
How does a subscription box cycle run at a 3PL?
Every cycle follows a calendar we set with you before the first one:
- You send the box spec and cycle dates. What goes in the box, the packing order, any printed inserts, a photo or sample, the build date and the ship window.
- Components arrive ahead of the cycle. Products, mailer boxes, tissue and cards land at the Valencia dock by parcel, pallet or container and are counted against your packing list. Shortages are reported before the build window opens, because one missing item holds up the whole cycle. Items with lot numbers or expiry dates are tracked by lot and used oldest date first, so a box does not go out with short-dated stock.
- You approve the first box. The first box of each cycle is built to the spec and photographed, and the batch starts only after you approve the photos.
- The subscriber file locks. Your store sends the cycle’s orders once its own cutoff passes: renewals that went through, new sign-ups, and the right variant for each subscriber.
- The batch is built and shipped. Boxes are built, packed and labeled, then collected by parcel carriers at the Valencia dock inside your ship window. Ground carriers reach most of the West in one to two days.
- Between cycles, orders keep moving. New sign-ups, replacement boxes and one-off store orders ship from the same stock against a daily order cutoff we agree with you.
Inserts change every cycle and cause most errors, so they belong on the spec and in the first-box photo. Variants, such as a shade or a size, are each built as their own version of the kit and matched to the subscribers who chose them.
Who handles failed payments, skips and returns?
Billing stays in your store platform. Renewals, failed payments, skipped months and cancellations are handled in your store or its subscription app, which decides who gets a box this cycle. Your store connects through the Logiwa client portal (Shopify, for example), and the warehouse ships what the store releases. That split keeps the subscriber file in one place: if a payment fails after the cutoff, you hold or cancel the order in the store, not by email to the warehouse. Stock and order status show in the portal before you plan the next cycle.
Returned and undeliverable boxes come back to Valencia and are processed to your instructions. Reverse logistics covers how returns work.
Can boxes ship to subscribers outside the US?
Yes, by international parcel from the same dock. Send the countries on your subscriber list with your quote request, so postage is priced for each destination before the first cycle. International parcels take longer than ground, so you may want those boxes out first in the window.
How much does subscription box fulfillment cost?
The subscription box fulfillment cost at a 3PL comes from four lines plus postage: receiving the components, storing them, building the boxes and processing each order. Receiving runs from $12 per pallet, storage from $25 a pallet a month and order processing from $5 an order. Kitting labor is quoted per cycle from a sample box, because it depends on:
- Items per box. Three items drop in fast. Eight items, tissue and a card placed to a photo take longer.
- Presentation. Folding, wrapping and placement add time to every box.
- Cycle size. Setup and the first-box check are spread across the whole batch, so larger cycles tend to cost less per box.
- Inbound condition. Components that arrive counted, labeled and palletized by SKU go straight to the build.
A worked example from the rate card: an 800-box cycle whose components arrive on five pallets and stay a month costs 5 × $12 = $60 to receive, 5 × $25 = $125 to store and 800 × $5 = $4,000 in order processing. Kitting labor and postage come on top, and business clients are invoiced. For the wider picture, read the 3PL and pallet storage pricing guide.
What do you need to quote a subscription box?
- Subscriber count now, and where you expect it in six months
- Cycle dates: how often you ship, the build date and the ship window
- Components per box, including inserts and any variants
- Box size and weight, with a photo or sample of a finished box
- How components arrive (parcel, pallet or container) and the countries on your list
Choosing among subscription box fulfillment companies
Most subscription box fulfillment companies can store and ship. The differences show up in the cycle: whether the first box is approved before the batch, whether shortages are flagged before build day, and whether one-off store orders keep shipping from the same stock between cycles.
A subscription box 3PL like ours fits programs shipping a few hundred to several thousand boxes a month: beauty and personal care boxes (see beauty and cosmetics fulfillment), apparel boxes and boxes of general merchandise. Fragrance, nail polish and aerosol samples are accepted as limited-quantity consumer goods after a safety data sheet review. Food, drink and supplement boxes are out: this is not an FDA-registered facility, and there is no cold storage. If your list is under a few hundred subscribers and you have room to pack, in-house is usually cheaper, and we will say so before you move any stock.
